Payroll Associate
Job Description:
The Payroll Associate position provides administrative and operational support to the Corporate Payroll team. This role is responsible for assisting with payroll processing, time sheet maintenance, payroll-related inquiries, reporting, reconciliations, and compliance-related payroll activities. The ideal candidate is detail-oriented, organized and comfortable working with payroll systems, Excel, and time-sensitive deadlines.
Key Responsibilities:
- Collect, review, enter, and maintain timesheets for hourly and salaried in-house employees.
- Review, reconcile, and assist with the approval of biweekly payroll for in-house staff to ensure accurate and timely processing.
- Support the setup, administration, and processing of wage garnishment orders, including communication with agencies and employees regarding withholding requirements.
- Calculate vacation, PTO, and holiday payouts for terminating employees in accordance with company policy and applicable state requirements, when requested by Human Resources or branch administrators.
- Prepare gross-to-net calculations for on-demand pay requests and other off-cycle payroll payments.
- Respond to payroll-related inquiries received through the Corporate Payroll inbox and provide timely customer service support to employees and internal departments.
- Process the weekly hire report from the payroll system and submit data through the BSO site to verify SSNs, names, and dates of birth entered in UKG.
- Develop proficiency in UKG Ready payroll processing, including payroll setup, adjustments, corrections, tax maintenance, reporting, and troubleshooting.
- Assist with quarter-end and year-end payroll activities as needed.
- Work with the UKG tax team to investigate and resolve tax notices.
- Generate payroll reports and support Finance, HR, and management with payroll-related reporting, audits, and special requests.
- Maintain confidentiality of employee payroll information while supporting compliance with company policies and applicable federal, state, and local regulations.
- Perform other payroll-related duties and special projects as assigned by the Payroll Manager or Payroll Administrator.
Qualifications and Skills:
- Proficiency in Microsoft Office, including advanced Excel skills such as formulas, pivot tables, VLOOKUP, filtering, sorting, and data analysis.
- Must have at least 2 years of Payroll experience required; experience with UKG Ready is a plus.
- Strong analytical and problem-solving skills with excellent attention to detail.
- Ability to maintain strict confidentiality when handling sensitive employee and payroll information.
- Strong customer service skills with a commitment to providing timely, accurate, and professional support.
- Ability to work independently while collaborating effectively within a team environment.
- Strong organizational skills and the ability to manage time-sensitive tasks in a deadline-driven payroll environment.
